Frequently asked questions
Honest, straightforward answers about our custom builds, pilot terms, integration with your diary, and ongoing support.
How does the 30 day pilot work?
When you commission your Custom CRM, setup begins with your first month paid (£300). The £2,500 setup fee is charged only at day 30, and only if you approve the system and continue after the pilot. If you walk away at day 30, you have paid £300 total and never pay the setup fee. The full price is agreed in writing before the pilot starts. For single systems, a 14 day trial applies.
Do I need to install new software or change my booking system?
No. We build our systems to integrate with your existing appointment diary, website, and email services. You and your team do not need to install complex local desktop software or replace your familiar booking procedures. Everything runs smoothly in the cloud and synchronizes in real time.
Who owns my data?
You own one hundred percent of your data at all times. All client records, contact histories, messages, and appointments remain your exclusive property. We never sell, share, or train public artificial intelligence models on your confidential customer details.
What if it doesn't work for my business?
Our founding guarantee is simple: if it doesn't earn its place in the 30 day pilot, you never pay the setup fee. If you feel during the pilot period that the system has not generated sufficient value, protected enough diary appointments, or saved meaningful team hours, you walk away with zero setup fee and zero further financial obligation.
How long does the custom build take?
Most custom CRM builds take between seven and fourteen days to design, integrate, test, and deploy for your business. Standalone systems are typically configured and operational within three to five days. Because you collaborate directly with the builder without intermediary layers, delivery is prompt and precise.
Is there a long term contract?
No. There are no long term tie in contracts or minimum duration commitments. The ongoing monthly fee covers active cloud hosting, continuous maintenance, updates, and direct technical support on a flexible rolling monthly basis. You can pause or cancel at any time with a single message.
What happens after the pilot ends?
Once your 30 day pilot concludes, if you approve the system and choose to continue, the £2,500 setup fee is charged and regular monthly hosting continues at £300 a month. For single systems (AI Receptionist at £700 setup and £150 a month, or No-Show Killer, Review Engine, and Win-Back Campaigns at £400 setup and from £97 a month), the 14 day trial applies. If you choose not to continue at day 30, you never pay the setup fee, we export your records cleanly, and shut down the deployment with zero penalties.
What is the cheapest CRM system for a UK business?
The cheapest CRM for a UK small business is a free entry tier like HubSpot Free or Zoho Bigin, but they strictly limit reporting, contact storage, and automation workflows. For businesses with active sales pipelines, a bespoke CRM from Veltris provides complete operational modules with zero per seat fees for £300 to start a 30 day pilot, where the £2,500 setup fee is charged only if approved at day 30.
Is a custom CRM expensive for a small business?
No, a custom CRM is significantly cheaper over three years than mainstream subscription software like HubSpot, Salesforce, or Monday for teams of five or more. While off the shelf platforms charge compounding per user fees that scale steeply into tens of thousands of pounds over three years as teams and contact databases expand, a bespoke CRM from Veltris costs £13,300 over three years with a flat £300 monthly all in retainer covering all tweaks, hosting, and support with zero per user license penalties.
Does an AI receptionist really work for trades and events?
Yes, an AI receptionist works reliably for trades and luxury events because it handles structured tasks like capturing project scope, verifying location postcodes, screening budgets, and locking in calendar dates. Because 78% of buyers choose the first responder, answering enquiries in under two minutes secures consultations before competitors open their inboxes.
What is the meaning of bespoke software?
Bespoke software means applications engineered from scratch to match the exact workflows, terminology, and operational stages of a specific company rather than rented from a mass market vendor. You own your system and customer data with no per user seat subscriptions or rigid feature constraints.
How much does CRM software cost per year in the UK?
A commercial CRM subscription scales unpredictably each year as vendors charge per user seat and per feature tier (as detailed in our October 2026 pricing breakdowns of HubSpot and Salesforce), while a custom CRM by Veltris costs £6,100 in Year 1 (£300 pilot payment + £2,500 setup at day 30 + £300 monthly retainer for 11 months) and £3,600 per year thereafter as an all in retainer covering all maintenance, usage, and updates with unlimited users.
